Job Description
Join our bustling Chichester office as an Escrow / Closing Assistant and become an integral part of our real estate closing process. In this fast-paced administrative role, you will support our Escrow Officers and Closing Agents, ensuring all documentation is accurate, deadlines are met, and clients experience seamless transactions. This position requires meticulous attention to detail, excellent organizational skills, and the ability to thrive in a high-volume environment where every closing counts.
Key Responsibilities
- Assist Escrow Officers and Closing Agents with all administrative tasks related to real estate closings.
- Prepare and organize closing documents, ensuring accuracy and completeness.
- Communicate effectively with clients, real estate agents, lenders, and other parties involved in transactions.
- Manage incoming and outgoing mail, emails, and phone calls efficiently.
- Maintain and update client files, ensuring confidentiality and proper record-keeping.
- Schedule appointments, closings, and follow-up meetings.
- Process invoices, disbursements, and other financial paperwork as directed.
- Support the team in meeting tight deadlines and managing a high volume of transactions.
Required Skills
- Proven administrative or office support experience.
- Exceptional organizational and time management skills.
- High level of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Ability to work effectively in a fast-paced, deadline-driven environment.

Preferred Qualifications
- Previous experience in a real estate, title, mortgage, or legal office setting.
- Familiarity with real estate closing processes and terminology.
- Experience with title software or CRM systems.
- NVQ Level 2 or 3 in Business Administration or equivalent.
