Job Description

We are seeking a proactive and organised Clerical Assistant to join our Department of Education team. This vital role operates on a term-time only basis, supporting the administrative functions that underpin our educational services. You will be instrumental in ensuring the smooth running of daily operations, providing essential clerical support to various teams within the department. This is an excellent opportunity for an individual with a keen eye for detail and a desire to contribute to public service, with full training provided for all specific systems and procedures.

Key Responsibilities

  • Provide comprehensive administrative and clerical support to the Department of Education.
  • Manage and maintain accurate departmental records, files, and databases.
  • Handle incoming and outgoing correspondence, including emails and postal mail.
  • Prepare, format, and distribute documents, reports, and presentations.
  • Organise and schedule meetings, including room bookings and minute-taking when required.
  • Respond to enquiries from internal staff and external stakeholders in a professional and timely manner.
  • Assist with data entry and the preparation of routine statistical information.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Support ad-hoc projects and tasks as directed by senior staff.

Required Skills

  • Strong organisational skills with an ability to manage multiple tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in basic office software (e.g., Microsoft Word, Excel, Outlook).
  • Ability to work accurately and efficiently, with attention to detail.

Preferred Qualifications

  • GCSEs (or equivalent) in English and Mathematics at Grade C/4 or above.
  • Previous experience in an administrative or office environment is advantageous but not essential.
  • Familiarity with local government structures or education sector operations.
