Job Description

We are seeking a highly organized, detail-oriented, and proactive Escrow / Closing Assistant to join our fast-paced real estate team in Cranbrook, BC. This critical role supports our real estate professionals and ensures a smooth, efficient, and accurate closing process for all property transactions. The ideal candidate thrives in a high-volume environment, possesses excellent administrative skills, and is eager to learn the intricacies of real estate escrow and closing procedures. While direct experience in escrow is a plus, we are prepared to train a motivated individual with a strong administrative background. This position requires meticulous attention to detail, strong communication abilities, and the capacity to manage multiple priorities simultaneously to meet critical deadlines.

Key Responsibilities

  • Prepare and review closing documents, ensuring accuracy and compliance with all provincial and federal regulations.
  • Coordinate with real estate agents, lenders, lawyers, and clients to gather necessary information and facilitate document execution.
  • Manage and maintain digital and physical transaction files with meticulous organization.
  • Schedule and confirm closing appointments, ensuring all parties are informed and prepared.
  • Process and track all incoming and outgoing correspondence related to real estate transactions.
  • Assist in resolving any issues or discrepancies that may arise during the closing process.
  • Provide general administrative support to the real estate team as needed.

Required Skills

  • Minimum 1 year of administrative or office support experience.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
