Job Description

We are seeking a dedicated and organized State/Provincial Foster Care Assistant to join our team in an office-based capacity in Ottawa. This entry-level position is crucial to the smooth operation of our foster care programs, providing essential administrative and logistical support to our social workers and case managers. The successful candidate will play a vital role in managing documentation, coordinating appointments, and assisting with various tasks that directly contribute to the well-being of foster children and their families. Key Responsibilities

  • Manage and organize confidential client files and program documentation, ensuring accuracy and compliance with provincial guidelines.
  • Schedule and confirm appointments for foster families, children, and social workers, including meetings, medical check-ups, and educational assessments.
  • Assist social workers with data entry, report preparation, and maintaining up-to-date records in the case management system.
  • Handle incoming communications, including phone calls and emails, from foster parents, biological families, and external agencies, directing inquiries appropriately.
  • Prepare materials for meetings, training sessions, and foster parent orientations.
  • Coordinate logistical arrangements for events, workshops, and support groups for foster families.
  • Process general office administrative tasks such as mail distribution, ordering supplies, and maintaining office equipment.
  • Support the team with special projects and initiatives as directed by supervisors or social workers.

Required Skills

  • High school diploma or equivalent.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle confidential information with discretion and professionalism.
  • Demonstrated empathy and a genuine interest in child welfare.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications

  • Post-secondary education in social services, administration, or a related field.
  • Previous administrative experience in an office setting.
  • Familiarity with case management software or databases.
  • Knowledge of provincial child welfare legislation and policies.
