Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to support the operations of an Embassy or Consulate client in the Richmond, CA area. This vital role involves providing comprehensive administrative and logistical support, ensuring the smooth functioning of diplomatic activities and communications. The ideal candidate will possess excellent communication skills, discretion, and a proactive approach to problem-solving. Key Responsibilities
- Manage and maintain executive calendars, schedule appointments, and coordinate meetings for diplomatic staff.
- Prepare and process correspondence, reports, presentations, and other official documents, ensuring accuracy and adherence to diplomatic protocols.
- Organize and maintain physical and electronic filing systems with utmost confidentiality.
- Coordinate travel arrangements, including visas, flights, and accommodations for staff and visiting dignitaries.
- Assist with event planning and execution for various diplomatic functions, receptions, and official visits.
- Handle incoming and outgoing communications, including phone calls, emails, and diplomatic pouches.
- Procure office supplies and manage inventory, ensuring all necessary resources are available.
- Act as a liaison between various departments and external stakeholders, including other diplomatic missions and local authorities.
- Process expense reports and assist with basic budgetary tracking.
- Provide general administrative support to ensure the efficient operation of the office.
Required Skills
- Minimum of 2 years of administrative support experience in a professional office setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- High level of discretion and ability to handle confidential information.
- Attention to detail and accuracy.
- Ability to multitask and prioritize in a fast-paced environment.
Preferred Qualifications
- Experience working in an international organization, government agency, or diplomatic mission.
- Proficiency in a second language (e.g., Spanish, French, Mandarin, Arabic).
- Knowledge of diplomatic protocols and international relations.
- Associate's or Bachelor's degree in a relevant field.
