Job Description

We are seeking a highly motivated and experienced AO5 Senior Administrative Officer to join our team in Swan Hill, supporting the vital functions of the Justice and Attorney General portfolio. This role is integral to the smooth operation of our local office, providing high-level administrative support, coordinating key activities, and ensuring compliance with departmental policies and procedures. The successful candidate will play a critical role in facilitating access to justice services and supporting the broader community safety initiatives within the region.

Key Responsibilities

  • Provide high-level administrative support to senior staff and teams within the Justice & Attorney General portfolio.
  • Manage complex calendars, appointments, and travel arrangements.
  • Prepare, proofread, and format correspondence, reports, presentations, and other documents.
  • Coordinate meetings, workshops, and events, including agenda preparation, minute taking, and follow-up actions.
  • Maintain accurate and confidential records, databases, and filing systems in compliance with government standards.
  • Liaise effectively with internal and external stakeholders, including government agencies, legal professionals, and community groups.
  • Process invoices, expenses, and procurement requests, ensuring adherence to financial guidelines.
  • Assist with project administration and contribute to the continuous improvement of administrative processes.

Required Skills

  • Proven experience in a senior administrative or executive assistant role, preferably within a government or legal environment.
  • Excellent written and verbal communication skills, with the ability to draft clear and concise documents.
  • Exceptional organisational and time management abilities, capable of prioritising tasks and managing multiple deadlines.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and collaboratively as part of a team.

Preferred Qualifications

  • A relevant tertiary qualification in Business Administration, Legal Studies, or a related field.
  • Knowledge of the Victorian public service context and administrative processes.
  • Experience with government record-keeping systems (e.g., TRIM/HP Content Manager).
  • Understanding of the justice system and related terminology.
