Job Description
As a Chief of Staff Assistant – Executive Level, you will provide comprehensive administrative and strategic support to a senior executive, specifically assisting the Chief of Staff in managing the executive’s office. This pivotal role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced corporate environment. You will be instrumental in ensuring the smooth operation of executive functions, handling sensitive information with confidentiality, and contributing to the strategic objectives of the team.
Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for the Chief of Staff and supported executive.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate internal and external meetings, ensuring all necessary materials are prepared in advance.
- Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications.
- Conduct research, compile data, and prepare reports or presentations as required.
- Assist in the coordination of projects, tracking progress and deadlines.
- Maintain highly confidential information with the utmost discretion.
- Facilitate efficient information flow and communication across departments.
- Process expense reports and manage office supplies.
Required Skills
- Proven experience providing executive-level administrative support (3+ years).
- Exceptional organizational and time management skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Proactive problem-solver with strong attention to detail.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience supporting a Chief of Staff or similar senior executive.
- Familiarity with financial services industry operations.
- Experience with project coordination software or CRM systems.
