Job Description
We are seeking a highly organised and proactive Executive Officer Assistant to provide comprehensive administrative and secretarial support to our senior management team in Canberra. This pivotal role ensures the efficient operation of our executive office, managing complex schedules, communications, and projects with discretion and precision. The successful candidate will be a critical link in facilitating smooth communication and workflow, contributing directly to the strategic objectives of our firm.
Key Responsibilities
- Manage complex calendars and schedule meetings, appointments, and travel arrangements for senior executives.
- Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and professionalism.
- Coordinate and support executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Handle confidential information with the utmost discretion and integrity.
- Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries.
- Assist with special projects and initiatives as assigned by senior management.
- Process expense reports and manage office supply inventories.
Required Skills
- Proven experience in an executive assistant or senior administrative role supporting senior management.
- Exceptional organisational and time management skills with the ability to prioritise effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
Preferred Qualifications
- A diploma or degree in business administration or a related field.
- Experience working within a large professional services firm or government environment.
- Familiarity with project management tools and methodologies.
