Job Description

We are seeking a highly organized and detail-oriented HOA Administrator to join our team in Scottsdale, AZ. This role is crucial for supporting our Community Managers and ensuring the smooth daily operations of various homeowners’ associations. The successful candidate will handle a diverse range of administrative tasks, act as a primary point of contact for residents, and uphold the highest standards of customer service. This is a full-time, on-site position with standard office hours from Monday to Friday.

Key Responsibilities

  • Provide comprehensive administrative support to Community Managers, including scheduling, correspondence, and report generation.
  • Serve as a primary point of contact for residents, addressing inquiries, resolving issues, and providing information in a timely and professional manner.
  • Manage and maintain accurate resident and property records within our association management software.
  • Assist with the preparation and distribution of meeting agendas, minutes, and related documentation for board meetings.
  • Coordinate with vendors for maintenance requests, amenity scheduling, and other community services.
  • Process architectural review applications and ensure compliance with HOA guidelines.
  • Support the onboarding of new communities and residents as needed.
  • Handle incoming and outgoing mail, emails, and phone calls for assigned communities.

Required Skills

Preferred Qualifications

  • Previous administrative experience, preferably in property management or a related field.
  • Familiarity with HOA operations, governing documents, and community association software (e.g., CINC, Yardi).
  • Associate's degree or higher.
