Job Description

We are seeking an experienced and highly motivated Legal Secretary to join our thriving boutique law firm. This is a pivotal role requiring exceptional organizational skills, attention to detail, and a proactive approach. The successful candidate will provide comprehensive administrative and secretarial support to our legal professionals, ensuring the efficient operation of the office and seamless client service. This position offers high pay commensurate with experience and the opportunity to work in a challenging yet rewarding environment.

Key Responsibilities

  • Manage and maintain legal professionals' diaries, scheduling appointments and meetings.
  • Prepare, proofread, and format legal documents, correspondence, and reports with precision.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Coordinate and manage client files, ensuring accurate and up-to-date record-keeping.
  • Assist with billing, invoicing, and expense tracking as required.
  • Conduct basic legal research and document retrieval.
  • Liaise professionally with clients, court staff, and other external stakeholders.
  • Support general office administration and maintain office supplies.
  • Adhere to all legal ethical standards and firm policies.

Required Skills

  • Minimum 3 years of experience as a Legal Secretary, preferably within a law firm setting.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality with sensitive information.

Preferred Qualifications

  • Diploma in Legal Services or a related field.
  • Experience with legal practice management software (e.g., LEAP, Actionstep).
  • Familiarity with property law, commercial law, or wills & estates terminology.
