Job Description

We are seeking an experienced and highly organised Project Administrator to join our dynamic team in Wodonga. In this crucial role, you will provide comprehensive administrative support to project managers and teams engaged in our civil and mining operations. Your ability to manage documentation, coordinate resources, and maintain clear communication will be vital to the successful delivery of our projects.

Key Responsibilities

  • Provide administrative support to Project Managers and site teams, including scheduling meetings, preparing agendas, and recording minutes.
  • Manage project documentation, ensuring all records are accurate, up-to-date, and compliant with company and industry standards.
  • Assist with procurement processes, including raising purchase orders, tracking deliveries, and reconciling invoices.
  • Coordinate resources, equipment, and personnel for various project activities.
  • Maintain project schedules and assist with tracking progress against milestones.
  • Facilitate internal and external communication, acting as a key point of contact for project-related queries.
  • Prepare reports, presentations, and correspondence as required.
  • Support adherence to health, safety, environmental, and quality policies and procedures.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent organisational and time management skills
  • Strong written and verbal communication abilities
  • High attention to detail and accuracy
  • Ability to work independently and as part of a team
  • Proven ability to manage multiple tasks and priorities effectively

Preferred Qualifications

  • Certificate III or IV in Business Administration or a related field
  • Previous experience in the civil construction, mining, or engineering industries
  • Familiarity with project management software (e.g., MS Project, Aconex)
  • Understanding of project lifecycle and documentation requirements
