Job Description

As a Purchasing Assistant at Northern Shores Legal, you will play a crucial role in supporting the efficient operation of our firm by managing procurement processes. You will be responsible for sourcing, ordering, and tracking office supplies, equipment, and services, ensuring cost-effectiveness and timely delivery. This position requires strong organizational skills, attention to detail, and the ability to communicate effectively with vendors and internal departments. You will contribute to maintaining optimal inventory levels and assist with budget tracking related to purchasing.

Key Responsibilities

  • Process purchase requisitions and orders for office supplies, equipment, and services.
  • Research and evaluate potential suppliers based on quality, price, and delivery speed.
  • Maintain accurate records of purchases, pricing, and other important data.
  • Monitor inventory levels and coordinate with relevant departments to ensure timely replenishment.
  • Negotiate with vendors to secure favorable terms and pricing.
  • Verify receipt of items by comparing items received to items ordered; resolve shipments in error with suppliers.
  • Assist in the preparation of purchasing reports and budget analysis.
  • Ensure compliance with company purchasing policies and procedures.

Required Skills

  • Proven experience in an administrative or purchasing support role (minimum 12 months).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Effective written and verbal communication skills.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Tertiary qualification in Business Administration or a related field.
  • Experience with procurement software or ERP systems.
  • Knowledge of supply chain management principles.
