Job Description
We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to provide comprehensive administrative support to our busy C-suite executives during morning hours. This is a fully remote position, offering the flexibility to work from your home office while being an integral part of our dynamic team. The ideal candidate will be adept at managing schedules, coordinating communications, and handling a variety of tasks to ensure our executives’ days run smoothly and efficiently. This role requires exceptional communication skills, a strong ability to multitask, and a proactive approach to anticipating needs.
Key Responsibilities
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and format professional correspondence, reports, and presentations.
- Organize and maintain digital files and records, ensuring easy accessibility and confidentiality.
- Act as a first point of contact, screening calls and emails, and redirecting as necessary.
- Conduct research and compile data to support executive decision-making.
- Assist with personal tasks and special projects as needed to support executives.
- Coordinate and follow up on tasks to ensure deadlines are met.
- Handle confidential information with discretion and professionalism.
Required Skills
- Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) or Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to work independently and proactively in a remote environment.
- Exceptional attention to detail and problem-solving skills.
- Reliable high-speed internet connection and a dedicated home office setup.
- Ability to maintain strict confidentiality.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience with project management tools (e.g., Asana, Trello).
- Familiarity with CRM software.
- Experience supporting C-level executives in a fast-paced environment.
