Job Description

We are seeking a dedicated and organised Records Management Officer to join our team in Tweed Heads for an immediate start. This vital role ensures the effective and compliant management of departmental records, contributing significantly to our operational efficiency and accountability. You will be responsible for maintaining accurate records, supporting information requests, and upholding government record-keeping standards. This is a fantastic opportunity to contribute to state government operations in a key administrative function.

Key Responsibilities

  • Process, classify, index, and store physical and electronic records in accordance with departmental and state government policies and procedures.
  • Manage incoming and outgoing correspondence, ensuring proper registration and distribution.
  • Assist with information retrieval and provide timely responses to internal and external record requests, including Freedom of Information (FOI) enquiries.
  • Conduct regular audits and quality checks of records to ensure accuracy, completeness, and compliance.
  • Support the transition and migration of records between systems as required.
  • Provide advice and guidance to staff on best practice record-keeping and information management.
  • Participate in records disposal processes, ensuring adherence to retention and disposal schedules.

Required Skills

  • Proven organisational skills with high attention to detail.
  • Proficiency in using office software (e.g., Microsoft Office Suite).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Capacity to quickly learn and adapt to new systems and processes.

Preferred Qualifications

  • Certificate III or IV in Business Administration, Information Management, or a related field.
  • Previous experience working within a government or large organisational setting.
  • Familiarity with record-keeping legislation and standards (e.g., State Records Act 1998 NSW).
  • Experience with electronic document and records management systems (EDRMS).
