Job Description
We are seeking a highly organised and proactive Chief of Staff Assistant to provide comprehensive administrative and operational support to our executive team, specifically assisting the Chief of Staff. This pivotal role requires an individual with exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced corporate environment. You will be instrumental in ensuring the smooth daily operations of the executive office, facilitating communication, and contributing to strategic initiatives.
Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel arrangements for the Chief of Staff and other executives.
- Prepare and compile documents, presentations, and reports for executive meetings and external engagements.
- Coordinate and support special projects, ensuring timely completion and adherence to objectives.
- Act as a primary point of contact for internal and external stakeholders, handling inquiries and communications with professionalism.
- Organise and facilitate executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Conduct research, gather data, and prepare summaries to support decision-making processes.
- Assist with event planning and coordination for corporate functions and executive gatherings.
- Maintain confidentiality of sensitive information and exercise discretion in all communications.
Required Skills
- Proven experience in an administrative support role, preferably supporting senior executives.
- Exceptional organisational and time management abilities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong verbal and written communication skills.
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Problem-solving aptitude with a proactive approach.
