Job Description

We are seeking a dedicated and organized Public Works Administrator to join our Infrastructure & Engineering team in Tullamarine, VIC. This role is crucial in supporting our project management and engineering departments, ensuring smooth administrative operations for various infrastructure projects. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. You will be responsible for a range of administrative tasks, document control, and providing essential support to project managers and engineers, contributing directly to the success of critical public works initiatives.

Key Responsibilities

  • Provide comprehensive administrative support to project managers and engineering teams.
  • Manage and organize project documentation, including reports, contracts, and permits.
  • Assist with scheduling meetings, preparing agendas, and drafting meeting minutes.
  • Coordinate communication between internal departments, external stakeholders, and contractors.
  • Maintain project files and databases, ensuring accuracy and accessibility.
  • Process invoices, expense reports, and track budget expenditures as required.
  • Prepare presentations, reports, and other correspondence.
  • Order and maintain office supplies for the project team.
  • Facilitate new employee onboarding logistics for the department.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.

Preferred Qualifications

  • Previous administrative experience in the construction, engineering, or public works sector.
  • Familiarity with document control systems or project management software.
  • Certificate or Diploma in Business Administration or a related field.
