Job Description
We are seeking a highly organised and proactive APS3 Administrative Assistant to join our team, providing essential support to a key Federal Agency located in Civic Centre, Newcastle, NSW. This full-time role is crucial for ensuring the smooth day-to-day operations of the agency’s Newcastle office. You will be responsible for a variety of administrative tasks, coordinating schedules, managing correspondence, and assisting with data entry and report preparation. This position offers an excellent opportunity to contribute to public service within a dynamic and supportive environment, gaining valuable experience in federal government operations.
Key Responsibilities
- Provide comprehensive administrative support to agency staff and management.
- Manage incoming and outgoing correspondence, including emails, phone calls, and physical mail.
- Maintain accurate records, files, and databases in compliance with government standards.
- Assist with scheduling appointments, meetings, and coordinating travel arrangements.
- Prepare routine reports, presentations, and other documents using various software applications.
- Process invoices, expense claims, and procurement requests in accordance with financial guidelines.
- Organise and maintain office supplies, equipment, and common areas.
- Assist with onboarding new staff members and managing access permissions.
- Handle confidential information with discretion and professionalism.
- Support ad-hoc administrative projects and tasks as required.
Required Skills
- Proven experience in an administrative support role, preferably within a corporate or government setting (minimum 12 months).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities, with a keen eye for detail.
- Ability to work independently and as part of a team.
- Demonstrated initiative and problem-solving skills.
- Australian Citizenship and ability to obtain and maintain a baseline security clearance.
Preferred Qualifications
- Previous experience working within an Australian Federal, State, or Local Government agency.
- Familiarity with government record-keeping systems and protocols.
- Relevant VET qualification in Business Administration or a related field.
