Job Description
We are seeking a highly motivated and detail-oriented Bilingual Admin Lead to join our team in Launceston, Tasmania. In this critical role, you will provide comprehensive administrative support to various departments, acting as a central point of contact for internal and external stakeholders across multiple countries. Your exceptional organizational skills, proficiency in English and a second language, and ability to manage diverse tasks will be vital to ensuring smooth daily operations and effective cross-cultural communication. This position requires a proactive individual who can take initiative, streamline processes, and lead by example in a fast-paced multi-national environment.
Key Responsibilities
- Manage and coordinate administrative operations, ensuring efficiency and compliance with company policies.
- Act as a primary point of contact for inter-departmental and international communication, facilitating smooth information flow.
- Translate documents and communications between English and the second required language (e.g., Mandarin, Spanish, French, German – specify during interview).
- Organize and schedule meetings, appointments, and travel arrangements for senior staff, including international itineraries.
- Prepare presentations, reports, and correspondence with high accuracy and attention to detail.
- Maintain organized filing systems, both digital and physical, ensuring data integrity and easy retrieval.
- Oversee office supplies inventory, place orders, and manage vendor relationships.
- Assist with onboarding new employees and provide administrative support for team initiatives.
- Proactively identify and implement improvements to administrative processes to enhance productivity.
- Support special projects and initiatives as directed by management.
Required Skills
- Proficiency in English and at least one other language (written and spoken).
- Proven experience in an administrative or office management role.
- Exceptional organizational and time management skills.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
