Job Description

We are seeking a highly organised and proactive Clerical Assistant to join our Department of Education team on a term-time contract. This role is essential in providing comprehensive administrative support to ensure the smooth and efficient running of departmental operations, particularly during school term periods. The successful candidate will play a vital role in managing communications, maintaining records, and assisting with general office duties, contributing directly to our mission of supporting education in Glasgow.

Key Responsibilities

  • Provide comprehensive administrative support to the Department of Education staff.
  • Manage and prioritise incoming and outgoing correspondence, including emails and postal mail.
  • Maintain accurate and up-to-date filing systems, both digital and physical.
  • Assist with data entry, record-keeping, and database management.
  • Prepare and format documents, reports, and presentations as required.
  • Handle telephone enquiries professionally and direct calls to appropriate personnel.
  • Assist with scheduling appointments and coordinating meetings.
  • Order and manage office supplies, ensuring adequate stock levels.
  • Support the organisation of events and activities within the department.
  • Adhere to all council policies and procedures, including data protection regulations.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent organisational and time management skills.
  • Strong written and verbal communication abilities.
  • High level of accuracy and attention to detail.
  • Ability to work independently and as part of a team.
  • Experience in an administrative or clerical role.

Preferred Qualifications

  • Previous experience working within an educational or public sector environment.
  • Knowledge of local government administrative processes.
  • SQA National 5 or equivalent in English and Administration.
