Job Description

We are seeking a highly organised and proactive Executive Officer Assistant to provide comprehensive senior management support to our regional leadership team in Lismore. This pivotal role requires an individual with exceptional administrative skills, discretion, and the ability to manage multiple priorities in a dynamic corporate environment. You will be instrumental in ensuring the smooth operation of executive functions, facilitating effective communication, and contributing to the overall efficiency of our senior leadership.

Key Responsibilities

  • Provide high-level administrative and secretarial support to senior executives.
  • Manage complex calendars, scheduling appointments, meetings, and travel arrangements.
  • Prepare and format confidential documents, presentations, and reports.
  • Coordinate and organise internal and external meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Act as a primary point of contact, liaising effectively with internal departments, clients, and external stakeholders.
  • Process expenses, invoices, and other financial administration in compliance with company policies.
  • Assist with special projects and initiatives as directed by senior management.
  • Maintain confidentiality and handle sensitive information with utmost discretion.

Required Skills

  • Proven experience supporting senior executives or management (minimum 2 years).
  • Exceptional organisational and time management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and attention to detail.
  • Demonstrated ability to maintain confidentiality.

Preferred Qualifications

  • Tertiary qualification in Business Administration or a related field.
  • Experience within the financial services industry.
  • Familiarity with project management tools and software.
  • Experience working in a fast-paced corporate environment.
