Job Description

We are seeking a diligent and detail-oriented Protocol Officer to join our team in Maryborough. This role is integral to the successful planning and execution of government diplomatic events, official visits, and ceremonial duties within the Queensland Government framework. The successful candidate will work closely with various government departments, diplomatic missions, and external stakeholders to ensure all events adhere to strict protocol guidelines, cultural sensitivities, and logistical requirements. This is an exciting opportunity for an individual with exceptional organisational skills and a keen interest in international relations and government administration.

Key Responsibilities

  • Coordinate and manage logistical arrangements for diplomatic visits, official ceremonies, and government functions, ensuring adherence to established protocol.
  • Prepare comprehensive briefing materials, itineraries, and programs for dignitaries and senior government officials.
  • Liaise effectively with internal departments, diplomatic missions, and external vendors to facilitate smooth event execution.
  • Provide expert advice on matters of protocol, etiquette, and precedence to ensure appropriate conduct at all events.
  • Manage guest lists, invitations, and RSVPs, and coordinate seating plans and gift exchanges in accordance with protocol.
  • Act as a point of contact for diplomatic representatives and high-level visitors, providing support and assistance as required.
  • Oversee event setup, delivery, and post-event reporting, including financial reconciliation and feedback collection.
  • Maintain up-to-date knowledge of international protocol standards and best practices.

Required Skills

  • Exceptional organisational and project management skills with keen attention to detail.
  • Strong interpersonal and communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Demonstrated ability to work autonomously and collaboratively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A valid Australian driver's licence and willingness to travel as required.
  • Proven ability to maintain confidentiality and exercise discretion.

Preferred Qualifications

  • A bachelor's degree in International Relations, Political Science, Public Administration, Event Management, or a related field.
  • Previous experience (2+ years) in a protocol, event management, or administrative role within government or a related sector.
  • Familiarity with diplomatic customs and international relations.
  • Knowledge of the local Maryborough and wider Queensland region.
