Job Description

We are seeking a highly meticulous and organized Records Management Assistant to join our dedicated team within a key government agency in Launceston. This role is essential for the efficient and secure handling of critical government records. The successful candidate will be responsible for maintaining precise documentation, ensuring compliance with departmental policies and government regulations, and supporting the overall information management lifecycle. Accuracy is paramount in this role, requiring exceptional attention to detail and a commitment to maintaining the integrity of our records.

Key Responsibilities

  • Accurately file, retrieve, and track physical and electronic government records in accordance with established procedures.
  • Perform data entry with exceptional precision, updating record management systems to reflect current status and location.
  • Assist with the scanning, indexing, and quality control of documents for digital archiving.
  • Ensure strict adherence to departmental records management policies, procedures, and relevant government legislation.
  • Respond to requests for information and records from internal stakeholders, ensuring timely and secure access.
  • Conduct regular audits and inventories of records to maintain accuracy and identify discrepancies.
  • Assist in the preparation of records for off-site storage or destruction, following approved retention schedules.
  • Support the implementation of new records management initiatives and technologies.
  • Maintain confidentiality and security of all sensitive information.
  • Provide general administrative support to the records management unit as required.

Required Skills

  • Proven experience in an administrative or office support role, with a focus on data entry or record keeping.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Proficiency in using office software, including Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and handle sensitive information discreetly.
  • Understanding of the importance of compliance with policies and procedures.

Preferred Qualifications

  • Previous experience working within a government agency or a highly regulated environment.
  • Familiarity with electronic document management systems (EDMS) or records management software.
  • A certificate or diploma in Business Administration, Information Management, or a related field.
  • Understanding of Australian Government records management standards (e.g., PROV, NAA guidelines).
