Job Description

Hays Recruitment is seeking a proactive and organised Admin Assistant with a focus on major projects to join our client’s team in Mount Gambier. This critical role will provide comprehensive administrative support, particularly for initiatives related to Transport NSW major projects, requiring attention to detail and excellent communication skills. You will be instrumental in ensuring project documentation is meticulously managed, communication flows efficiently, and operational tasks are completed to support the successful delivery of significant infrastructure developments. This is an exciting opportunity to contribute to high-impact transport projects while based in a key regional hub.

Key Responsibilities

  • Provide high-level administrative support to project managers and teams.
  • Manage project documentation, including filing, archiving, and version control.
  • Coordinate meetings, prepare agendas, and accurately record minutes.
  • Assist with the preparation of reports, presentations, and correspondence.
  • Maintain project schedules and trackers, ensuring data accuracy.
  • Handle incoming inquiries, both internal and external, professionally.
  • Assist with procurement processes, expense tracking, and invoice processing.
  • Facilitate effective communication between various project stakeholders.
  • Support general office administration as required.

Required Skills

  • Proven administrative experience, preferably in a project-focused environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organisational and time management abilities.
  • Strong verbal and written communication skills.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Demonstrated problem-solving skills.

Preferred Qualifications

  • Certificate III or IV in Business Administration or a related field.
  • Experience with document management systems (e.g., SharePoint, Aconex).
  • Familiarity with government or infrastructure project environments.
  • Understanding of basic project management principles.
