Job Description

We are seeking a highly organised and detail-oriented Ministerial Correspondence Officer to join our team in Cairns. This pivotal role involves providing high-level administrative support, primarily focused on the preparation and management of ministerial correspondence. You will be responsible for drafting clear, concise, and accurate responses to complex inquiries, ensuring all communications adhere to strict government protocols and deadlines. This role requires exceptional judgment, discretion, and the ability to operate effectively in a fast-paced, politically sensitive environment, directly supporting senior executives and ministerial offices.

Key Responsibilities

  • Drafting, editing, and finalising high-quality ministerial correspondence, briefings, and other official documents.
  • Ensuring all correspondence is accurate, grammatically correct, politically astute, and adheres to government standards.
  • Managing the end-to-end process of ministerial correspondence, including logging, tracking, and distributing documents.
  • Liaising effectively with various internal departments, external stakeholders, and ministerial offices to gather information and facilitate timely responses.
  • Conducting research and information gathering to inform comprehensive and accurate responses.
  • Maintaining strict confidentiality and handling sensitive information with the utmost discretion.
  • Providing administrative support to senior staff as required, including calendar management and meeting coordination.
  • Identifying and escalating potential issues or delays in the correspondence process.

Required Skills

  • Proven experience in a high-level administrative or executive support role, preferably within a government or large corporate environment.
  • Exceptional written and verbal communication skills, with a strong ability to draft professional and politically sensitive documents.
  • Superior organisational and time management skills, with the ability to prioritise effectively and meet tight deadlines.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Demonstrated ability to exercise sound judgment and discretion.

Preferred Qualifications

  • Relevant tertiary qualification in Business Administration, Public Relations, Communications, or a related field.
  • Understanding of government processes, protocols, and the machinery of government.
  • Experience using electronic document management systems.
