Job Description

We are seeking a calm, organized, and empathetic Administrative Assistant to join our team at Serenity Point Acupuncture & Wellness. This role is perfect for an individual who thrives in a quiet, professional office setting and is dedicated to creating a positive and welcoming experience for our patients. You will be the first point of contact for our clinic, handling administrative tasks with precision and a gentle demeanor, ensuring the smooth operation of our front office.

Key Responsibilities

  • Warmly greet and assist patients, managing check-ins and check-outs with professionalism.
  • Schedule and confirm appointments efficiently using our clinic management software.
  • Maintain accurate and confidential patient records, ensuring data integrity.
  • Handle incoming phone calls, emails, and general inquiries in a polite and timely manner.
  • Process payments, manage billing inquiries, and prepare daily financial summaries.
  • Ensure the reception area and waiting room are tidy, serene, and welcoming at all times.
  • Assist with basic office tasks, including filing, scanning, and organizing documents.
  • Manage clinic supplies inventory, placing orders and ensuring availability.
  • Provide administrative support to practitioners as needed, contributing to a cohesive team environment.

Required Skills

  • Minimum of 1 year of administrative or customer service experience, preferably in a quiet office setting.
  • Exceptional organizational and multitasking abilities with a keen eye for detail.
  • Strong verbal and written communication skills with a professional and compassionate tone.
  • Proficiency in basic computer applications, including Microsoft Office Suite and email.
  • A high degree of empathy, discretion, and a naturally calm and patient demeanor.
  • Ability to maintain a quiet, respectful, and therapeutic office environment.
  • Excellent problem-solving skills and the ability to work independently.

Preferred Qualifications

  • Previous experience working in a healthcare or clinic setting.
