Job Description
As an AO5 Senior Admin Officer within the Justice & Attorney General portfolio, you will provide high-level administrative, executive, and project support to senior management and teams. This role is crucial in ensuring the efficient operation of a fast-paced government department, contributing to the delivery of key justice initiatives. You will be responsible for managing complex schedules, coordinating significant meetings, preparing detailed reports, and acting as a key point of contact for internal and external stakeholders. This position requires a proactive, organized, and discreet individual with excellent communication skills and a strong commitment to public service.
Key Responsibilities
- Provide high-level administrative support to senior executives, including diary management, travel arrangements, and expense reconciliation.
- Coordinate and manage complex meeting schedules, prepare agendas, record minutes, and track action items.
- Draft and format a variety of documents, including correspondence, reports, presentations, and briefing notes, ensuring accuracy and adherence to departmental standards.
- Manage information flow, including screening calls and emails, redirecting inquiries, and maintaining comprehensive electronic and physical filing systems.
- Act as a primary liaison point for internal and external stakeholders, including other government agencies, legal professionals, and community groups.
- Assist with project administration, data collection, and report generation for various departmental initiatives.
- Contribute to the continuous improvement of administrative processes and procedures.
- Support the onboarding of new staff and assist with team coordination activities.
Required Skills
- Minimum of 4 years of experience in a senior administrative or executive assistant role, preferably within a government or legal environment.
- Demonstrated ability to manage complex administrative tasks with a high degree of autonomy and attention to detail.
- Excellent written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with records management systems.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a busy environment.
- Proven ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Strong interpersonal skills with the ability to build effective working relationships with diverse stakeholders.
Preferred Qualifications
- A relevant Certificate IV or Diploma in Business Administration, Legal Administration, or a related field.
- Experience working within a Victorian Government department or a similar public sector organization.
- Familiarity with government protocols, legislative frameworks, and administrative procedures.
- Experience using specific government enterprise systems or project management software.
