Job Description

As a Facilities Helpdesk Coordinator, you will be the first point of contact for all facilities-related inquiries and service requests. You will play a crucial role in ensuring the smooth operation of our clients’ facilities by efficiently managing maintenance tickets, coordinating with technicians and vendors, and maintaining clear communication with stakeholders. This role requires excellent organizational skills, a customer-centric approach, and the ability to thrive in a fast-paced environment. You will be instrumental in maintaining a high level of tenant and client satisfaction through prompt and effective resolution of facilities issues.

Key Responsibilities

  • Serve as the primary point of contact for all facilities maintenance requests via phone, email, and ticketing system.
  • Log, prioritize, assign, and track all incoming maintenance tickets to resolution within agreed service level agreements (SLAs).
  • Dispatch facilities technicians and external vendors for repairs and services.
  • Communicate effectively with clients and building occupants regarding status updates, estimated times of arrival, and completion of work.
  • Maintain accurate records of all service requests, work orders, and resolution details.
  • Monitor vendor performance and ensure compliance with service contracts.
  • Generate reports on helpdesk activity, common issues, and service performance.
  • Assist with administrative tasks related to facilities management, including procurement of supplies and invoice processing.
  • Identify opportunities for process improvement within the helpdesk operations.
  • Collaborate with the facilities management team to ensure consistent service delivery and tenant satisfaction.

Required Skills

  • High school diploma or equivalent.
  • 1+ years of experience in a helpdesk, customer service, or administrative role, preferably within a facilities or property management setting.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to multi-task and prioritize in a dynamic environment.
  • Customer service-oriented with a professional and friendly demeanor.

Preferred Qualifications

  • Associate's degree or higher in Business Administration, Facilities Management, or a related field.
  • Experience with Computerized Maintenance Management Systems (CMMS) or other facilities management software.
  • Basic understanding of building systems and maintenance terminology.
  • Previous experience working for a commercial real estate or facilities management company.
