Job Description

We are seeking a motivated and enthusiastic Filing & Post Room Clerk to join our busy administrative team in Ipswich. This is an excellent entry-level opportunity for someone looking to start their career in an office environment. No prior experience is required as full training will be provided to ensure you become proficient in all aspects of the role. You will be instrumental in maintaining efficient document flow and mail services, supporting various departments across our organisation. Key Responsibilities

  • Sort and distribute incoming mail and parcels to the correct departments and individuals promptly.
  • Prepare outgoing mail, ensuring correct postage and packaging for dispatch.
  • Maintain organised filing systems, both physical and digital, ensuring documents are easily retrievable.
  • Assist with scanning, archiving, and retrieving important company documents.
  • Manage stationery supplies, monitoring stock levels and placing orders as needed.
  • Operate and maintain office equipment such as franking machines, photocopiers, and scanners.
  • Provide general administrative support to various departments as required.
  • Adhere to company policies and procedures, including data protection and confidentiality.
  • Ensure the post room and filing areas are kept tidy and well-organised.

Required Skills

  • Ability to work accurately and with excellent attention to detail.
  • Strong organisational skills and a methodical approach to tasks.
  • Reliable, punctual, and a strong work ethic.
  • Good basic computer literacy (e.g., Microsoft Office Suite).
  • Effective verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • A proactive and willing attitude to learn new tasks and systems.

Preferred Qualifications

  • GCSEs (or equivalent) in English and Maths at grade C/4 or above.
  • Some experience in a customer service or administrative role (even voluntary or casual).
  • A desire to develop a career in office administration.
