Job Description
We are seeking a highly organised and empathetic Legal Aid Administrator to join our dedicated team in Fremantle. This role is crucial in providing essential administrative support to our legal professionals, enabling them to deliver vital public legal services. You will be the first point of contact for many clients, requiring a compassionate approach and the ability to manage sensitive information with discretion. This position focuses on the administrative backbone of public legal support, ensuring smooth operations and efficient service delivery.
Key Responsibilities
- Manage and maintain client files, ensuring accuracy and confidentiality.
- Schedule appointments, manage diaries, and coordinate meetings for legal staff.
- Prepare and format legal documents, correspondence, and reports.
- Answer phone calls, direct inquiries, and provide general information to clients.
- Process incoming and outgoing mail and electronic communications.
- Assist with data entry and maintain various databases.
- Support lawyers with case preparation and research tasks as required.
- Handle office supplies and equipment, ensuring a well-stocked and functional environment.
- Collaborate with other administrative staff to ensure seamless office operations.
Required Skills
- Proven administrative experience, preferably within a legal or community service environment.
- Excellent organisational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills, both written and verbal, with a professional phone manner.
- Ability to work effectively in a fast-paced and sensitive environment.
- High level of attention to detail and accuracy.
- Ability to maintain strict confidentiality and exercise discretion.

Preferred Qualifications
- Tertiary qualification in Business Administration, Legal Studies, or a related field.
