Job Description
We are seeking an enthusiastic and highly organized Med-Spa Coordinator to join our vibrant team at Reflections Medical Aesthetics. This pivotal role is the first impression our high-end clients receive, requiring a blend of administrative prowess, exceptional customer service, and a genuine passion for the aesthetics industry. You will be responsible for ensuring the smooth operation of our front desk, managing client appointments, facilitating a warm and welcoming environment, and supporting our medical professionals. Key Responsibilities
- Warmly greet clients, manage check-ins and check-outs, and provide a seamless guest experience.
- Schedule and confirm appointments efficiently using our spa management software.
- Answer phones, respond to emails, and manage client inquiries with professionalism and discretion.
- Process payments, manage retail sales, and maintain accurate client records.
- Educate clients on our services, products, and membership programs.
- Maintain the pristine appearance of the reception area and treatment rooms.
- Assist with inventory management and ordering of supplies.
- Support practitioners with administrative tasks as needed.
- Resolve client concerns and complaints effectively and courteously.
Required Skills
- Proven experience in a client-facing role, preferably in a high-end service environment.
- Exceptional communication and interpersonal skills.
- Proficiency with scheduling software and basic office applications.
- Strong organizational skills and ability to multitask under pressure.
- A professional and polished appearance and demeanor.
- Ability to work flexible hours, including some evenings and weekends.
Preferred Qualifications
- Previous experience in a medical spa, dermatology, or plastic surgery office.
- Knowledge of medical aesthetic treatments and skincare products.
- Associate's or Bachelor's degree in hospitality, business, or a related field.
- Experience with Zenoti, Mindbody, or similar spa management software.
