Job Description
We are seeking a highly organized and proactive Remote Executive Assistant to provide comprehensive administrative support to senior leaders from a home-based office. This role is 100% remote, offering the flexibility to manage your work-life balance while contributing to a dynamic and fast-paced environment. The ideal candidate will be adept at managing multiple priorities, demonstrating excellent communication skills, and possessing a keen eye for detail. You will play a crucial role in ensuring the efficient operation of our leadership team, handling confidential information with discretion, and anticipating needs to proactively support executive functions.
Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements for executives.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and maintain electronic files and records.
- Act as a primary point of contact for internal and external stakeholders on behalf of executives.
- Conduct research, compile data, and prepare reports as requested.
- Facilitate communication across departments and with external partners.
- Assist with special projects and events as needed, ensuring timely and successful completion.
- Handle confidential information with the utmost discretion and professionalism.
- Process expense reports and manage invoices.
- Proactively identify and address potential issues or conflicts, offering solutions.
Required Skills
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organizational and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team in a remote setting.
- High level of discretion and integrity in handling confidential information.
- Problem-solving aptitude and proactive approach to task management.
Preferred Qualifications
- Post-secondary education in business administration or a related field.
- Experience working in a large corporate environment, preferably in financial services.
- Familiarity with virtual collaboration tools (e.g., Microsoft Teams, Zoom).
