Job Description

We are seeking a dedicated and organized Justice Department Assistant to support our Community Corrections programs in Irvine, California. This vital role provides administrative support to case managers, program coordinators, and various stakeholders involved in community corrections initiatives. The Assistant will play a key part in maintaining accurate records, facilitating communication, and ensuring the smooth operation of programs designed to support individuals within the justice system and aid in their successful reintegration into the community. This position requires a strong commitment to public service, meticulous attention to detail, and the ability to handle sensitive information with professionalism and discretion.

Key Responsibilities

  • Provide comprehensive administrative support to program staff, including scheduling, correspondence, and report preparation.
  • Maintain accurate and confidential client records, ensuring compliance with all privacy regulations and program requirements.
  • Assist with data entry and management for various program databases and tracking systems.
  • Coordinate meetings, appointments, and training sessions for staff and program participants.
  • Serve as a primary point of contact for inquiries from program participants, external agencies, and the public, directing them to appropriate resources.
  • Prepare and process program-related documentation, forms, and reports for internal and external distribution.
  • Support the onboarding and orientation process for new program participants, explaining guidelines and resources.
  • Collaborate with team members to identify and implement process improvements for administrative efficiency.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational abilities and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Basic data entry and record-keeping skills.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications

  • Associate's degree or higher in criminal justice, social work, public administration, or a related field.
  • One to two years of administrative support experience, preferably in a government, legal, or social services environment.
  • Familiarity with community corrections programs or justice system terminology.
  • Experience with database management systems or client management software.
