Job Description
We are seeking a dedicated and detail-oriented Bankruptcy Law Office Assistant to join our busy Jersey City office. This essential role focuses on managing critical data entry tasks and serving as a primary point of contact for clients navigating the bankruptcy process. The ideal candidate will possess excellent organizational skills, a compassionate demeanor, and a strong commitment to accuracy. While prior legal experience is a plus, we are prepared to train a motivated individual who demonstrates a strong work ethic and a desire to learn. This is an on-site position vital to the smooth operation of our bankruptcy practice.
Key Responsibilities
- Perform accurate and timely data entry for client information, case details, and financial documents into our legal management system.
- Assist attorneys and paralegals with document preparation, including petitions, schedules, and various court filings related to bankruptcy cases.
- Serve as a primary point of contact for clients, answering inquiries, scheduling appointments, and providing updates on their case status.
- Maintain organized physical and digital client files, ensuring all documentation is complete and easily accessible.
- Handle incoming and outgoing correspondence, including mail, email, and faxes.
- Process and track client payments and invoices.
- Assist with general office administrative tasks such as answering phones, greeting visitors, and ordering supplies.
- Follow up on outstanding documents or information required from clients or third parties.
- Adhere to all confidentiality protocols and legal ethical standards.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional data entry speed and accuracy.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Ability to handle sensitive information with discretion and maintain strict confidentiality.
- A compassionate and professional demeanor when interacting with clients, many of whom are in challenging financial situations.
- Ability to work effectively in a fast-paced office environment.
Preferred Qualifications
- Previous experience in an office administrative role, preferably within a legal setting.
- Familiarity with legal terminology, especially related to bankruptcy (Chapter 7, Chapter 13).
- Experience with legal practice management software (e.g., Clio, MyCase).
- Bilingual proficiency (English and Spanish) is a significant advantage.
