Job Description

We are seeking a diligent and detail-oriented Background Check Specialist to join our HR Technology team in Fremantle. In this critical role, you will be responsible for meticulously processing and verifying background checks for new hires and existing employees, ensuring compliance with company policies, client requirements, and relevant Australian legislation. This position requires a keen eye for detail, strong organizational skills, and a commitment to maintaining confidentiality and accuracy in all tasks. You will work within our cutting-edge HR tech platforms, contributing directly to a smooth and secure onboarding experience.

Key Responsibilities

  • Initiate, monitor, and process all types of background checks (e.g., criminal, education, employment verification, reference checks) using designated HR systems and vendor platforms.
  • Review and analyze background check reports, identifying discrepancies or red flags and escalating issues as per established protocols.
  • Communicate effectively with candidates, employees, recruiters, and third-party vendors to gather necessary information and provide updates.
  • Maintain accurate and up-to-date records of all background check activities and results in the HR information system.
  • Ensure strict adherence to data privacy regulations (e.g., Australian Privacy Principles) and company policies regarding confidential information.
  • Collaborate with legal and compliance teams to stay informed about changes in background check laws and industry best practices.
  • Contribute to the continuous improvement of background check processes and documentation.
  • Provide support for internal and external audits related to background check compliance.

Required Skills

  • Minimum of 2 years of experience in human resources, compliance, or a related administrative role.
  • Proven experience with background check processes and systems.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Understanding of Australian employment laws and privacy principles relevant to background checks.

Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience with major HRIS platforms (e.g., Workday, SAP SuccessFactors, ADP Vantage HCM).
  • Certification in HR (e.g., AHRI) or compliance.
  • Familiarity with various background check vendor platforms and processes.
  • Experience in an HR technology or shared services environment.
