Job Description

We are seeking a friendly, professional, and highly organized City Hall Receptionist / Greeter to join our team at the Scarborough Civic Centre. This pivotal role is the first point of contact for members of the public, visitors, and staff, embodying the spirit of public service and hospitality. You will play a crucial role in creating a positive and efficient experience for everyone entering our facility, providing essential information and guidance with a warm and welcoming demeanor. This is an on-site position focused on direct public interaction.

Key Responsibilities

  • Greet all visitors, clients, and staff with a welcoming and professional attitude.
  • Direct visitors to appropriate departments, offices, or meeting rooms.
  • Answer and direct incoming calls efficiently and professionally.
  • Provide accurate information regarding City services, events, and departmental functions.
  • Manage visitor registration and ensure security protocols are followed.
  • Assist with general administrative tasks as required, including mail distribution and basic data entry.
  • Maintain a tidy and presentable reception area.
  • Handle inquiries and resolve minor issues or escalate to appropriate personnel when necessary.
  • Distribute informational materials and forms to the public.
  • Monitor reception area activity and report any unusual occurrences.

Required Skills

  • Excellent verbal communication and interpersonal skills.
  • Strong customer service orientation with a pleasant and approachable demeanor.
  • Ability to multitask and manage competing priorities in a busy environment.
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite).
  • High level of professionalism and discretion.
  • Ability to work independently and as part of a team.
  • Fluency in English (written and spoken).

Preferred Qualifications

  • Previous experience in a reception, customer service, or public-facing role.
  • Familiarity with municipal government services or operations.
  • Knowledge of an additional language relevant to Toronto's diverse population.
  • Experience using multi-line phone systems.
  • A diploma or certificate in office administration or a related field.
