Job Description
As a Med-Spa Coordinator, you will be the first point of contact for our valued clients, responsible for ensuring an exceptional and seamless experience from initial inquiry to post-treatment follow-up. This role requires a meticulous professional with outstanding communication skills, a passion for high-end client services, and a strong understanding of a luxury spa environment. You will manage scheduling, client intake, payment processing, and maintain the aesthetic integrity of our reception area, contributing significantly to our reputation for excellence.
Key Responsibilities
- Warmly greet clients, manage check-ins and check-outs, and provide a luxurious reception experience.
- Skillfully manage appointment scheduling, rescheduling, and cancellations for all services and practitioners.
- Handle client inquiries via phone, email, and in-person, providing detailed information about services and products.
- Process payments accurately, manage billing records, and assist with financial reporting.
- Maintain the cleanliness and organization of the reception area and client lounge.
- Educate clients on pre- and post-treatment care instructions.
- Support the clinical team with administrative tasks as needed.
- Manage inventory of retail products and assist with merchandising.
- Ensure a deep understanding of all services, products, and promotions offered.
Required Skills
- Proven experience (minimum 18 months) in a high-end customer service or administrative role, preferably within a spa, salon, or medical office setting.
- Exceptional interpersonal and communication skills, both written and verbal.
- Strong organizational abilities and attention to detail.
- Proficiency with scheduling software and basic office applications.
- Ability to multitask and remain calm and professional in a fast-paced environment.
- A genuine passion for the aesthetics industry and client satisfaction.
Preferred Qualifications
- Associate's or Bachelor's degree in a related field.
- Experience with specific Med-Spa CRM systems (e.g., AestheticNow, Meevo).
- Knowledge of medical terminology or aesthetic procedures.
- Sales or retail experience.
