Job Description

We are seeking an enthusiastic and highly organized Med-Spa Coordinator to join our esteemed team at Éclat MedSpa & Wellness. This pivotal role is perfect for a professional who is passionate about delivering high-end client services and ensuring the smooth operation of our luxurious med-spa. As the first point of contact, you will be instrumental in creating a welcoming and seamless experience for all our clients, from their initial inquiry to post-treatment follow-up. You will manage scheduling, provide administrative support, assist with product sales, and maintain the aesthetic and operational standards of our facility, all while upholding our commitment to unparalleled client care.

Key Responsibilities

  • Greet and welcome clients with exceptional warmth and professionalism, ensuring a personalized and luxurious experience from arrival to departure.
  • Manage all aspects of client scheduling, including appointments, consultations, and follow-up visits, optimizing practitioner calendars.
  • Handle phone calls, emails, and in-person inquiries promptly and courteously, providing detailed information about our services and products.
  • Process client payments, manage billing inquiries, and maintain accurate client records in compliance with privacy regulations.
  • Assist with inventory management of retail products and professional supplies, ensuring adequate stock levels and attractive displays.
  • Maintain the cleanliness and pristine appearance of the reception area and common spaces, reflecting our high standards of luxury.
  • Educate clients on various med-spa treatments and retail products, effectively communicating their benefits and value.
  • Collaborate closely with practitioners and other staff to ensure a cohesive and efficient client flow and service delivery.
  • Perform various administrative tasks, including data entry, report generation, and organizing client files.
  • Resolve client concerns and issues with empathy and efficiency, escalating when necessary to ensure complete client satisfaction.

Required Skills

  • Minimum of 2 years of experience in a client-facing role, preferably in a high-end service, hospitality, or medical setting.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Proficiency in scheduling software and standard office applications (MS Office Suite).
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Impeccable attention to detail and a proactive approach to problem-solving.
  • A genuine passion for client care and the aesthetics industry.

Preferred Qualifications

  • Experience within a med-spa, dermatology clinic, or plastic surgery office.
  • Knowledge of aesthetic treatments, skincare products, and common medical terminology.
