Job Description
We are seeking a highly organized, professional, and client-focused Med-Spa Coordinator to join our high-end Yonkers location. As the first point of contact for our discerning clientele, you will play a crucial role in ensuring a seamless and exceptional experience from the moment they arrive. This is an on-site position where your dedication to service and operational excellence will directly contribute to our reputation for luxury and care.
Key Responsibilities
- Warmly greeting and checking in clients, ensuring a welcoming and high-end environment.
- Managing appointment schedules efficiently, handling bookings, cancellations, and reschedules with precision.
- Processing payments, maintaining accurate client records, and assisting with membership inquiries.
- Responding to client inquiries via phone, email, and in-person, providing comprehensive information about our services and products.
- Assisting with opening and closing procedures, ensuring the spa is always pristine and prepared for operations.
- Proactively addressing client needs and concerns, striving to exceed expectations at every interaction.
- Collaborating with estheticians and spa management to ensure smooth daily operations and a cohesive team environment.
- Light product sales and recommendations, educating clients on our premium skincare lines.
Required Skills
- Exceptional customer service and interpersonal communication skills.
- Strong organizational abilities and meticulous attention to detail.
- Proficiency in computer systems, including scheduling software and point-of-sale (POS) systems.

Preferred Qualifications
- Previous experience (1+ year) in a luxury retail, hospitality, or medical spa setting.
- Familiarity with spa management software (e.g., Mindbody, Booker).
- Bilingual communication skills (e.g., Spanish) are a plus.
- A background in esthetics or cosmetology, even if not actively practicing, demonstrates valuable industry insight.
