Job Description

We are seeking a dedicated and highly organized Parole Board Administrative Assistant to join our team in Lewisville, Texas. This secure position involves providing comprehensive administrative support to the Parole Board and its staff, ensuring the smooth and efficient operation of critical processes. The successful candidate will handle sensitive and confidential information with the utmost discretion, maintain meticulous records, and contribute to the vital work of public safety and offender supervision. This is an on-site role requiring a strong commitment to accuracy, confidentiality, and teamwork within a structured environment.

Key Responsibilities

  • Manage and organize confidential case files and legal documents for parole hearings.
  • Schedule meetings, hearings, and appointments for Parole Board members.
  • Prepare, proofread, and distribute official correspondence, reports, and decisions.
  • Maintain accurate records and databases related to parole cases and offender information.
  • Serve as a point of contact for internal staff, other agencies, and external inquiries, exercising professional judgment and discretion.
  • Assist with data entry, file management, and archiving of critical documents.
  • Ensure compliance with all state and federal regulations concerning confidentiality and data security.
  • Provide general administrative support, including answering phones, managing office supplies, and processing mail.

Required Skills

  • Minimum of 12 months of administrative or clerical experience, preferably in a legal, government, or secure environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Demonstrated ability to handle highly confidential information with integrity and discretion.
  • Ability to work independently and as part of a team in a fast-paced, secure environment.
  • High school diploma or GED equivalent.

Preferred Qualifications

  • Associate's degree in Criminal Justice, Public Administration, or a related field.
  • Experience with case management software or government database systems.
  • Knowledge of criminal justice procedures, legal terminology, or parole processes.
  • Bilingual proficiency (English/Spanish).
