Job Description
We are seeking a highly organized and proactive Public Sector Events Logistics Assistant to join our City Council team. In this pivotal role, you will provide essential support for the planning, coordination, and execution of various public events, meetings, and civic engagements. This includes everything from community consultations and public forums to ceremonial events, ensuring seamless operations and effective communication. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced, dynamic environment dedicated to serving the public.
Key Responsibilities
- Assist in the logistical planning and execution of City Council events, meetings, and public engagement sessions.
- Coordinate venue bookings, catering, AV equipment, and transportation arrangements.
- Prepare event materials, including agendas, presentations, signage, and delegate packages.
- Manage event registration processes and maintain accurate attendance records.
- Provide on-site support during events, including setup, breakdown, and troubleshooting.
- Liaise with internal departments, external vendors, and community stakeholders.
- Process invoices, track expenses, and assist with budget monitoring for events.
- Respond to inquiries from the public and attendees regarding event details.
- Maintain event calendars and ensure timely communication of updates.
- Perform administrative duties as required to support the events team.
Required Skills
- Proven organizational and time management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of attention to detail and accuracy.

- Customer service-oriented approach.
Preferred Qualifications
- Post-secondary education in Event Management, Business Administration, Public Relations, or a related field.
- Previous experience in an administrative support or events coordination role, particularly within a public sector or large organization setting.
- Familiarity with municipal government operations and public engagement processes.
- Valid Class 5 British Columbia Driver's License and access to a reliable vehicle.
