Job Description

We are seeking a highly motivated and organised School Admin Manager to join our dedicated team in Taree. This pivotal full-time role involves overseeing the comprehensive administrative operations of a school within the New South Wales public education system. You will be instrumental in ensuring efficient and effective support for staff, students, and the wider school community. The successful candidate will be responsible for managing administrative personnel, financial processes, student enrolment, and general office procedures, directly contributing to the smooth running and positive atmosphere of the educational environment.

Key Responsibilities

  • Manage and supervise administrative staff, including recruitment, training, performance management, and daily workflow allocation.
  • Oversee school financial operations, including budgeting, purchasing, invoicing, payroll reconciliation, and financial reporting, ensuring strict adherence to departmental and governmental guidelines.
  • Manage all aspects of student enrolment, transfers, records, and attendance data, maintaining accuracy and confidentiality.
  • Ensure the efficient and professional operation of the school office, including correspondence management, robust record-keeping, and effective communication systems.
  • Coordinate facilities management, including maintenance requests, resource allocation, and ensuring a safe physical environment.
  • Provide high-level administrative support to the Principal and other senior leadership staff, including diary management and report preparation.
  • Implement and maintain departmental policies and procedures related to administration, finance, and human resources.
  • Serve as a primary liaison for parents, community members, and external stakeholders, providing professional and timely communication.
  • Manage school assets and inventory, ensuring proper tracking and maintenance.
  • Actively contribute to a safe, inclusive, and positive school environment for all members of the community.

Required Skills

  • Proven experience (minimum 3 years) in an administrative management or senior office management role, preferably within an educational or public sector environment.
  • Demonstrated strong financial management skills, including budgeting, accounts payable/receivable, and reconciliation.
  • Exceptional organisational and time management abilities, with a meticulous eye for detail and accuracy.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with administrative database systems.
  • Outstanding written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
  • Demonstrated ability to lead, mentor, and motivate a small administrative team effectively.
  • Proven capacity to manage multiple priorities, work independently, and perform effectively under pressure.
  • Thorough understanding of confidentiality and privacy principles, particularly within an educational context.
  • Strong analytical and problem-solving capabilities with a proactive approach to challenges.

Preferred Qualifications

  • Tertiary qualification (Diploma or Bachelor's degree) in Business Administration, Management, Public Administration, or a related field.
  • Previous experience with NSW Department of Education administrative and financial systems (e.g., Sentral, SAP, ERN).
  • Current First Aid certificate or willingness to obtain one.
  • Working knowledge of relevant legislative requirements pertaining to school administration (e.g., child protection, WHS).
