Job Description

We are seeking a highly motivated and organised AO3 Business Support Officer to join our team in Rockhampton. In this vital role, you will provide comprehensive administrative and operational support to ensure the smooth and efficient functioning of our local office. You will be instrumental in managing day-to-day tasks, assisting with various projects, and contributing to the overall success of the department’s objectives. This position requires strong attention to detail, excellent communication skills, and a proactive approach to problem-solving. Key Responsibilities

  • Provide high-level administrative support, including diary management, travel arrangements, and meeting coordination for managers and team members.
  • Prepare, proofread, and format a wide range of correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to departmental standards.
  • Manage incoming and outgoing communications, including phone calls, emails, and mail, responding to general enquiries or redirecting as appropriate.
  • Maintain and update record management systems (electronic and physical) with meticulous attention to detail and confidentiality.
  • Assist with basic procurement processes, including raising purchase orders, processing invoices, and tracking expenditures.
  • Support general office management tasks such as stationery orders, equipment maintenance requests, and facilities coordination.
  • Liaise professionally with internal and external stakeholders, building positive working relationships.
  • Contribute to a positive, collaborative, and productive team environment.
  • Undertake other administrative duties as required to support departmental operations.

Required Skills

  • Demonstrated experience in providing administrative support within a professional office environment (minimum 1 year).
  • Proficiency in using the Microsoft Office Suite (Word, Excel, Outlook) for document creation, data management, and communication.
  • Excellent written and verbal communication skills, with the ability to articulate information clearly and concisely.
  • Strong organisational skills and proven ability to manage multiple tasks, prioritise effectively, and meet deadlines.
  • High level of attention to detail and accuracy in all work activities.
  • Ability to work effectively both autonomously and as a collaborative team member.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive and adaptable approach to work, with a willingness to learn new systems and processes.

Preferred Qualifications

  • Previous experience working within a Queensland Government department or a similar large organisation.
  • Experience with corporate business systems such as SAP or a document management system (e.g., TRIM, Content Manager).
  • A relevant Certificate III or IV in Business Administration or equivalent qualification.
