Job Description

We are seeking a highly organized, detail-oriented, and discreet individual to join our team as a Parole Board Administrative Assistant. This is a secure, full-time on-site position based in Anaheim, CA, crucial to the smooth operation of the Parole Board. In this role, you will provide essential administrative support to Parole Board members, ensuring that critical documents are managed accurately, schedules are maintained efficiently, and confidential information is handled with the utmost care. This position offers a unique opportunity to contribute directly to the justice system and public safety in California, working within a structured and supportive government environment. Due to the sensitive nature of the work, strict adherence to security protocols and confidentiality is paramount.

Key Responsibilities

  • Manage and organize highly confidential case files and documents related to parole hearings.
  • Schedule and coordinate parole board meetings, hearings, and interviews, including sending notifications and preparing agendas.
  • Prepare, review, and proofread official correspondence, reports, and other documents for accuracy and completeness.
  • Serve as a liaison between Parole Board members, legal counsel, correctional facility staff, and external stakeholders.
  • Maintain accurate electronic and physical record-keeping systems in compliance with state and federal regulations.
  • Assist in the compilation of statistical data and reports as required.
  • Handle incoming and outgoing communications, including phone calls and emails, with professionalism and discretion.
  • Ensure all administrative tasks support the efficient and secure functioning of the Parole Board operations.

Required Skills

  • Minimum of 12 months of experience in an administrative support role, preferably within a structured or government environment.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
  • Proven ability to handle highly confidential information with discretion and integrity.
  • Strong verbal and written communication skills.
  • High level of attention to detail and accuracy in all work.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Successful completion of a comprehensive background check and security clearance process.

Preferred Qualifications

  • Experience within a legal, criminal justice, or government administrative setting.
  • Familiarity with the California criminal justice system or parole processes.
  • Proficiency in specialized record management software or databases.
  • Ability to type at least 45 words per minute.
  • Associate's degree or higher in related field.
