Job Description

We are seeking an exceptionally organized, personable, and proactive Med-Spa Coordinator to join our esteemed team. This pivotal role is the first point of contact for our high-end clients, responsible for ensuring a seamless and elevated experience from the moment they inquire to post-treatment follow-up. You will be the orchestrator behind our daily operations, managing schedules, client communications, and contributing to the sophisticated ambiance that defines The Elysian Clinic & Spa. Key Responsibilities

  • Manage and optimize clinic appointment scheduling, ensuring efficient flow and minimal client wait times.
  • Warmly greet clients, provide an exceptional check-in and check-out experience, and assist with their needs.
  • Handle all incoming calls, emails, and inquiries with professionalism and discretion, providing detailed information about services and products.
  • Process client payments, manage billing inquiries, and maintain accurate financial records.
  • Maintain the cleanliness and presentation of the reception area and common spaces, upholding our luxury standards.
  • Coordinate with practitioners and therapists to ensure client readiness and smooth transitions between treatments.
  • Assist with inventory management of retail products and clinic supplies.
  • Educate clients on pre- and post-treatment care instructions and product recommendations.
  • Support marketing initiatives by assisting with social media updates, event coordination, and promotional material distribution.
  • Resolve client concerns and issues promptly and courteously, escalating when necessary.

Required Skills

  • Minimum of 2 years experience in a high-end customer service, hospitality, or luxury retail environment.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Proficiency in appointment scheduling software and basic office applications (e.g., Microsoft Office Suite).
  • Strong organizational abilities and meticulous attention to detail.
  • Ability to multitask effectively and remain composed under pressure.
  • A professional, polished appearance and demeanor.
  • Discretion and respect for client confidentiality.

Preferred Qualifications

  • Previous experience in a medical spa, dermatology clinic, or aesthetic practice.
  • Knowledge of aesthetic treatments and skincare products.
  • Experience with CRM systems and electronic health records (EHR).
  • A degree or diploma in Business Administration, Hospitality Management, or a related field.
