Job Description

We are seeking a highly organized, proactive, and detail-oriented WFH Executive Secretary to provide comprehensive administrative support to senior leadership within our professional services firm. This is a 100% remote position, offering the flexibility to work from your home office while being an integral part of a thriving team. The successful candidate will be a critical point of contact, managing calendars, communications, and projects with discretion and professionalism. This role requires exceptional time management skills, the ability to anticipate needs, and a strong proficiency in remote collaboration tools.

Key Responsibilities

  • Manage complex calendars and schedule appointments, meetings, and conferences.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and maintain digital files and records, ensuring confidentiality and accessibility.
  • Coordinate travel arrangements and process expense reports.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and emails.
  • Assist with project coordination and follow-up on action items.
  • Conduct research and compile data as needed for various projects.
  • Support the preparation of agendas and minutes for meetings.
  • Proactively identify and address administrative challenges, offering solutions.
  • Ensure timely and accurate completion of all administrative tasks.

Required Skills

  • Minimum 2 years of experience in an executive administrative or secretarial role.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong organizational and time management skills.
  • High level of discretion and ability to handle confidential information.
  • Reliable high-speed internet connection and a dedicated home office setup.
  • Proficiency with virtual meeting platforms (e.g., Zoom, Microsoft Teams).

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field.
  • Experience working in a professional services environment (e.g., legal, finance, consulting).
  • Familiarity with project management software.
