Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team at the Consulate General of the United States in Calgary. This pivotal role supports various consular and administrative functions, ensuring smooth daily operations and contributing to the effective representation of U.S. interests. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to handle sensitive information with discretion.

Key Responsibilities

  • Provide comprehensive administrative support to consular officers and staff.
  • Manage and maintain schedules, appointments, and travel arrangements.
  • Prepare, proofread, and format official documents, reports, and correspondence.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Organize and maintain physical and electronic filing systems, ensuring accuracy and confidentiality.
  • Assist with event planning and coordination for consular outreach programs and official receptions.
  • Process invoices, expense reports, and maintain office supply inventory.
  • Serve as a point of contact for internal and external inquiries, directing them to the appropriate department or individual.
  • Adhere to all diplomatic protocols and security procedures.

Required Skills

  • Minimum 2 years of proven administrative assistant or secretarial experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time management abilities.
  • Ability to maintain strict confidentiality and exercise discretion.
  • High level of attention to detail and accuracy.
  • Legally eligible to work in Canada.

Preferred Qualifications

  • Experience working in a diplomatic mission, government agency, or international organization.
  • Knowledge of U.S. government procedures or consular services.
  • Proficiency in additional languages (e.g., French, Spanish).
  • Post-secondary education in Business Administration, Office Management, or a related field.
