Job Description

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative and executive support to our senior leadership team. This APS Level position is crucial in ensuring the smooth and efficient operation of the executive office, facilitating effective communication, and managing key administrative processes. You will play a vital role in supporting strategic initiatives and contributing to the overall success of the Council’s objectives.

Key Responsibilities

  • Provide high-level administrative and executive support to senior leaders, including diary management, travel arrangements, and expense reporting.
  • Manage incoming and outgoing communications, including drafting correspondence, screening calls, and managing emails with discretion.
  • Coordinate and prepare agendas, minutes, and briefing papers for meetings, ensuring timely distribution and follow-up on action items.
  • Assist with research, data collection, and report preparation to support strategic decision-making.
  • Maintain organised filing systems and confidential records, ensuring data integrity and accessibility.
  • Liaise effectively with internal departments, external stakeholders, and the public.
  • Undertake special projects and assignments as directed by senior leadership, demonstrating initiative and problem-solving skills.
  • Ensure compliance with all relevant Council policies and procedures.

Required Skills

  • Proven experience as an Executive Assistant or in a similar high-level administrative support role.
  • Exceptional organisational and time management skills, with the ability to prioritise and manage multiple tasks.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong interpersonal skills and the ability to build effective working relationships.
  • Demonstrated initiative and proactive problem-solving abilities.

Preferred Qualifications

  • A diploma or degree in Business Administration, Office Management, or a related field.
  • Experience working within a government or public sector environment (APS familiarity is a plus).
  • Familiarity with local government operations and community services.
