Job Description
The Executive Officer Assistant provides comprehensive administrative and operational support to senior management, ensuring the smooth and efficient running of their offices. This pivotal role involves managing complex schedules, coordinating communications, preparing critical documents, and facilitating various projects to uphold the strategic objectives of the university’s leadership. The successful candidate will be a proactive, highly organised individual with exceptional interpersonal skills and a proven ability to handle sensitive information with discretion and professionalism.
Key Responsibilities
- Manage and maintain complex calendars, scheduling appointments and meetings for senior executives.
- Prepare, review, and edit confidential correspondence, reports, presentations, and other documents.
- Coordinate travel arrangements, including accommodation, flights, and itineraries.
- Act as a primary point of contact, liaising effectively with internal departments, external stakeholders, and the public.
- Organise and coordinate executive meetings, including preparing agendas, taking minutes, and tracking action items.
- Assist with project management tasks, research, and data compilation as required by senior management.
- Maintain organised filing systems and databases, ensuring accuracy and accessibility of information.
- Handle inquiries and requests efficiently, redirecting as appropriate and following up to ensure resolution.
- Provide general administrative support to the executive office.
Required Skills
- Minimum 3 years of experience in an executive assistant or senior administrative support role.
- Exceptional organisational and time management skills with the ability to prioritise effectively.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills, with excellent attention to detail.
- Proven ability to maintain confidentiality and exercise discretion.
- Proactive problem-solving abilities and a strong sense of initiative.
Preferred Qualifications
- A Diploma or Bachelor's degree in Business Administration, Management, or a related field.
- Experience working within an academic or public sector environment.
- Familiarity with university administrative systems and protocols.
