Job Description
We are seeking an experienced and highly organised Legal Secretary to join our dynamic team in Stoke-on-Trent. This crucial role provides comprehensive secretarial and administrative support to our fee earners, ensuring the efficient operation of their caseloads and contributing to the overall success of the firm. The ideal candidate will have a proven background in a legal secretarial position, possessing excellent communication skills, meticulous attention to detail, and a proactive approach to their work.
Key Responsibilities
- Prepare and format a variety of legal documents, correspondence, pleadings, and agreements with precision and accuracy.
- Manage and maintain fee earners' diaries, scheduling appointments, meetings, and court dates.
- Act as a primary point of contact for clients, handling inquiries professionally and directing calls as appropriate.
- Organise and maintain both physical and electronic client files, ensuring all documentation is up-to-date and easily accessible.
- Process incoming and outgoing mail, faxes, and emails, ensuring timely distribution and action.
- Assist with billing procedures, expense reports, and other financial administrative tasks.
- Conduct basic legal research and information gathering as instructed by fee earners.
- Adhere strictly to confidentiality protocols and professional ethical standards.
- Provide general administrative support, including photocopying, scanning, and reception cover when required.
Required Skills
- Proven experience (minimum 3 years) as a Legal Secretary or in a similar administrative role within a legal environment.
- Exceptional typing speed and accuracy (e.g., 65+ WPM).
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organisational skills with the ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills, with a professional and client-focused approach.
- Meticulous attention to detail and a commitment to producing high-quality work.
- Ability to work both independently with minimal supervision and collaboratively as part of a team.
Preferred Qualifications
- A recognised secretarial qualification (e.g., CILEx Level 3 Certificate for Legal Secretaries or equivalent).
- Experience with specific legal practice management software (e.g., Proclaim, Case Management Systems).
- Previous experience supporting fee earners in specific legal departments such as Conveyancing, Family Law, or Commercial Litigation.
