Job Description
We are seeking a highly organized and client-focused Med-Spa Coordinator to join our team at Luminé Aesthetics & Wellness. This pivotal role is the first point of contact for our discerning clientele, requiring a professional, empathetic, and efficient individual capable of managing schedules, client inquiries, and administrative tasks while maintaining our high standards of service. The ideal candidate will possess excellent communication skills, a proactive attitude, and a passion for the aesthetics industry.
Key Responsibilities
- Manage client appointments, bookings, and re-bookings efficiently and accurately.
- Provide a warm, professional, and welcoming experience for all clients, both in person and over the phone.
- Handle all client inquiries, provide detailed information about services and products, and resolve issues promptly.
- Maintain client records with strict confidentiality and attention to detail.
- Assist with inventory management and ordering of supplies.
- Process payments, manage billing, and reconcile daily transactions.
- Support the medical and aesthetic team with administrative tasks as needed.
- Ensure the reception area and client lounge are impeccably maintained and presentable.
- Promote and upsell services and products when appropriate, enhancing the client experience.
Required Skills
- Proven experience in a client-facing role, preferably in a high-end service environment (e.g., hospitality, beauty, medical office).
- Exceptional interpersonal and communication skills.
- Proficiency in scheduling software and standard office applications (MS Office Suite).
- Strong organizational and multitasking abilities.
- A keen eye for detail and problem-solving skills.
- Ability to maintain composure and professionalism in a fast-paced environment.
- Discretion and respect for client confidentiality.
Preferred Qualifications
- Previous experience in a med-spa, dermatology clinic, or aesthetic practice.
- Knowledge of aesthetic treatments and beauty products.
